|
- Facilitators needed for all seven officer roles.
- Must have served in the role you’re training for at least one year.
- Facilitate discussion between club officers about their roles as listed in the Club Officer Handbook.
- Encourage innovation and creativity within each role and collaboration with the rest of the officer team.

Conference or TLI Chair |
|
- Lead regular meetings with committee chairs to ensure planning is on track.
- Work with the Program Quality Director to create the vision for the conference, including event theme.
- Track tasks in the Basecamp project management system and ensure organized file sharing system within the committee.
|
TLI Host Club |
|
- Provide venue for the event with sufficient space to accommodate 150-200 attendees, and at least seven (7) smaller rooms for breakout sessions.
- Sponsor or seek donations for some of the cost, including room rental, security, food, and printing,
|
Graphic Design Committee |
|
- Work with the Conference Chair to design a brand around the conference theme.
- Design printed marketing materials, including postcards, posters, and program booklet.
- Requirement: Must have prior graphic design experience, though templates will be provided.

Program Chair |
|
- Work with the Graphic Design Chair and Top 4 Team to curate content for the program.
- Proofread all program content to ensure correct spelling and grammar.
- Coordinate printing of program with our preferred print company.

Registration Chair |
|
- Monitor online registrations, as Program Quality Chair has already setup the site.
- Work with the Public Relations Manager to promote registration deadlines.
- Coordinate on-site check-in with Finance Manager and volunteers.

Credentials Chair |
|
- Manage registration for the Business Meeting and ensure each participant receives appropriate materials like ballots and handouts.
|
Decorations Chair |
|
- Design table centerpieces and other room decorations around the event theme designated by the Conference Chair.
- Work with volunteers to build decorations pre-conference and place them around the venue the night before.
|
Conference Contest Chair |
|
- Identify all functionaries for the two District-level contests––the Humorous Speech and Evaluation Contest.
- Facilitate the contests onstage, introducing the Toastmasters and ensuring onsite contest logistics run smoothly.
- Work with Program Quality Director to get all contest forms printed.

Opportunity Drawing Chair |
|
- Collect prizes from individual members, clubs, and other outside organizations.
- Have these prizes brought to the event and organize and number them on the tables, creating a smooth flow for attendees to opt into winning them.
- Train volunteers on selling opportunity drawing tickets. Administer prizes to the winners.

Show Flow Coordinator |
|
- Work with the Top 4 Team to establish the run of show and script for the conference.
- Be the on-site expert at keeping the conference program running on-time and ensuring speakers are queued up and ready.
- Work with our preferred AV company to provide sound and lighting cues throughout the program.

Bookstore Chair |
|
- Train volunteers to staff the bookstore during the conference and answer any attendee questions about the products.
- Work with the District Administrator to order supplies and arrange the items within the bookstore room at the conference.
|
Logistics Manager |
|
- Work with the TLI Chair to ensure rooms or spaces are setup correctly for each session.
- Design a floor plan for the event and provide to print in the program.
- Coordinate directional signage to assist attendees with finding the space and ensuring they have a positive logistical experience.

Food & Beverage Coordinator |
|
- Work with the TLI Chair to purchase sufficient food and beverages for attendees at the event within the allotted budget.
- Solicit donations from local companies to offset the cost of food and beverages.
- Work the Logistics Manager to setup the food and beverages onsite for attendees.

Speaker Host and Coordinator |
|
- Connect with speakers pre-event to coordinate logistics such as speaking time, handouts needed, and AV required.
- Collect biographies and session descriptions from all speakers to be posted on the event website.
- Be the onsite contact for speakers when they arrive and have logistical questions.

Program Chair |
|
- Work with the Conference Chair and Program Quality Director to curate content for the program.

- Coordinate printing of program with our preferred print company.

Contest Chair |
|
- Coordinate food, beverage, printed program, script, and functionaries for the contest.
- Help is needed at the area and division levels.

Contest Toastmaster |
|
- Emcee one or both contests at an area or division level contest by introducing each speaker and transitioning between each section at the event.
|
Chief Judge & Judges |
|
- Must have completed at least six CC speeches to qualify as a judge.
- Chief judges train judges, ensuring they follow correct procedures when filling out the required paperwork.
- Judges utilize the rubric provided to rank each contest speaker.
|
Ballot Counter |
|
- Assist Chief Judge with counting ballots after each contest to determine the contest winner.
|
Contest Timer |
|
- Track the time to ensure the overall area or division contest runs on time and each speaker qualifies.
